Understanding Workflow Stages

Stages represent steps in your application journey:

  • Prospect - Jobs you're interested in
  • Applied - Application submitted
  • Screening - Initial recruiter contact
  • Interview - Active interview rounds
  • Offer - Received an offer
  • Closed - No longer active

Accessing Workflow Settings

  1. Go to SettingsWorkflow
  2. View your current stages
  3. Make changes as needed

Adding a Stage

  1. Click Add Stage
  2. Enter the stage name
  3. Choose a color
  4. Set the position (order)
  5. Click Save

Editing Stages

  1. Click the stage you want to edit
  2. Change name, color, or order
  3. Click Save

Note: Editing a stage name updates it everywhere, including existing applications.

Reordering Stages

Drag and drop stages to change their order in the workflow.

The order affects:

  • Kanban column arrangement
  • Status dropdown order
  • Progress visualization

Deleting Stages

  1. Click the stage to delete
  2. Click Delete
  3. Choose what to do with applications in that stage:
    • Move to another stage
    • Keep as-is (stage becomes uncategorized)

Warning: Deleting stages can affect reporting and organization.

Using Templates

Don't want to build from scratch?

  1. Go to SettingsWorkflow
  2. Click Apply Template
  3. Choose from:
    • Standard (6 stages)
    • Tech Industry (specialized for tech roles)
    • Simple (minimal 3-stage workflow)

Tips

  • Match your process - Stages should reflect how you actually track
  • Not too many - 5-8 stages is usually ideal
  • Clear names - Use terms you'll understand quickly
  • Logical order - Stages should flow left-to-right
